Privacy Policy

tersOS ("we," "our," or "us") operates the tersOS platform, including the tersOS web application, tersOS Displays mobile application, and related services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information.

1. Information We Collect

Account Information: When you create an account, we collect your name, email address, and organization details.

Usage Data: We automatically collect information about how you interact with our services, including device information, IP addresses, browser type, and pages visited.

Device Information (tersOS Displays): For our display signage application, we collect device identifiers for pairing purposes and basic device information to ensure proper functionality.

AI Assistant Conversations: When you chat with TersAI, our AI assistant, we store the conversation transcript. If you chat as a guest (for example on a public booking page or an event portal) and share contact details such as your name, email, or phone number, we save them so our team can follow up on your request. See section 4 for how AI conversations are processed.

2. How We Use Your Information

• To monitor and analyze usage patterns and trends
• To detect, prevent, and address technical issues

3. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We share personal data only with the service providers listed below, each acting on our behalf and receiving only the data needed for its role:

• Hosting & file storage — DigitalOcean: our servers and file storage run in DigitalOcean's Frankfurt (EU) region, so your account data and uploaded files are processed there
• Payments — Paddle: our Merchant of Record receives the billing details needed to process purchases (see our Terms of Service)
• Email delivery — Postmark: receives recipient addresses and message content in order to deliver transactional email we send you
• AI providers — Anthropic and OpenAI: receive chat messages and context when you use TersAI, as described in section 4
• Product analytics — PostHog (EU-hosted): receives usage events (pages visited, features used) linked to a pseudonymous account identifier, which we use to improve the product
• Push notifications — Expo: receives device push tokens to deliver mobile app notifications you have enabled

We may also disclose information when required by law or to protect our rights (legal requirements), or in connection with a merger, acquisition, or sale of assets (business transfers).

4. TersAI — Our AI Assistant

tersOS includes an AI assistant called TersAI, available in the web application, the member mobile app, and on public pages such as booking pages and event portals. AI features are optional: before your first message we show a notice summarizing this section, and nothing is shared with AI providers until you choose to continue and send a message.

What is shared. To generate a response, we send to our AI providers: the messages you type, your name and email address (when you are signed in or have provided them), the page or feature you are chatting from, and the workspace information needed to answer your question — for example details of the booking, event, or invoice you ask about.

Who processes it. TersAI routes requests across multiple large-language-model providers — currently Anthropic (Claude) and OpenAI (GPT models). We use their commercial APIs, under which your data is not used to train their models. Providers may retain API traffic for a limited period to operate and secure their services, under their own policies linked above.

What we store. Conversation transcripts are stored on our servers in the EU — as your chat history if you are a member, or linked to your inquiry or event if you chat as a guest, so the team serving you can follow up. To have a transcript deleted, contact support@tersos.io.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet is 100% secure.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide services. We will retain and use information as necessary to comply with legal obligations, resolve disputes, and enforce agreements.

7. Your Rights

Depending on your location, you may have rights to:

• Access the personal information we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict processing of your data
• Data portability

8. Children's Privacy

Our services are not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us immediately.

9. tersOS Displays (Android/TV Application)

The tersOS Displays application is designed for digital signage purposes in coworking and commercial spaces. The app:

• Requires network access to connect to tersOS servers and display content
• Collects device identifiers solely for pairing and identification purposes
• Does not collect personal user data beyond what is necessary for operation
• Does not access device cameras, microphones, or personal files
• Stores minimal data locally for caching and offline functionality
